Privacy Policy
Last updated: August 29, 2026
Comfort Pros AZ and CA ("we", "us", or "our") operates this website and provides HVAC and plumbing services in Arizona and California. This policy explains what information we collect, why we collect it, and what you can ask us to do with it.
1. Information we collect
We collect information you give us directly, which typically includes:
- Your name, phone number and email address
- The city or neighborhood where the service is needed
- Details about the service you are requesting and the equipment involved
- Communication history with our office and technicians
- Payment information, which is processed by third-party payment and financing providers rather than stored by us
We also collect limited technical information automatically when you browse the site, such as pages viewed, approximate location derived from your IP address, browser type and referring page.
2. How we use your information
- To respond to service requests, quotes and questions
- To schedule and complete hvac and plumbing services work
- To send appointment confirmations and service updates by phone, SMS or email
- To process payments and, where you request it, financing applications
- To keep service records that support warranty claims
- To improve the website and understand which pages are useful
3. Text messages
If you submit a lead form with a mobile number and tick the SMS opt-in checkbox, we may send SMS updates about your appointment or job. The exact wording you see at the point of consent is: "I consent to receive SMS communications regarding service updates, appointment reminders, and promotions. Message and data rates may apply. Reply STOP to cancel."
The opt-in is mandatory and unchecked by default. We never auto-check the box, pre-fill your prior consent, or treat form submission as consent. Reply STOP to any message to opt out of further texts; that does not affect our ability to complete work you have already booked. We log the timestamp, the exact consent text shown, the form URL, and your IP address whenever consent is recorded, and we retain that record for at least four years as required under 47 CFR § 64.1200(f)(9) and applicable A2P 10DLC carrier rules.
Our SMS program is registered as a 10DLC brand and campaign with the major US carriers through our messaging provider. We do not sell or share mobile numbers with third parties or affiliates for marketing or promotional purposes.
4. Information sharing
We do not sell your personal information. We share it only with:
- Service providers who help us operate, such as scheduling and payment processors
- Financing partners (GreenSky, Wisetack, Goodleap) when, and only when, you choose to apply for financing
- Equipment manufacturers when a warranty claim requires it
- Professional advisors such as accountants and legal counsel
- Authorities where we are legally required to do so
4a. How customer data is collected, stored, and processed
We operate with a small, named set of integrations. Each one is listed below with the data it handles, the legal basis we rely on, and the retention window.
Lead capture (LocusPilot)
Form submissions from this website are POSTed over HTTPS to a LocusPilot lead-capture endpoint identified by our project ID. The worker receives the fields you fill in (name, phone, email, address, service details, consent flags, the URL of the page you submitted from, and standard UTM / click identifiers), records them on LocusPilot's servers, and returns a 303 redirect back to the page you came from. LocusPilot is a processor on our behalf and acts under a data-processing agreement; it does not sell or share the data. Lead records are retained for the life of the customer relationship plus seven years for tax and warranty purposes, then deleted.
Scheduling (Google Calendar webhook)
When you book an appointment, a copy of your booking payload is sent in parallel to a Google Apps Script Web App that creates the dispatcher-side calendar event. The script sees the same fields the lead worker sees. Calendar entries are retained indefinitely because they are our operational record of work performed; you can ask us to remove a calendar entry that contains only your contact details.
Address autocomplete (Google Maps Places)
If you start typing a service address, the address field loads the Google Maps Places library in the browser to suggest US addresses. Google receives the characters you type and your approximate location from the browser; we do not send your full address to Google before you choose a suggestion.
SMS / MMS delivery
Once you opt in, outbound SMS / MMS are routed through an A2P 10DLC-registered messaging provider that delivers to mobile carriers. The provider receives the message body, the destination number, and our brand and campaign identifiers. The provider retains delivery and opt-out logs as required by carrier rules.
Telephony and call recording
Inbound and outbound calls placed to or from Comfort Pros phone lines may be recorded or transcribed by an AI-assisted quality-assurance tool. See Section 4b below for the full two-party consent disclosure.
Payments and financing
Card payments are processed by our payment processor under PCI-DSS; we never see or store the full card number, CVV, or expiration date. Financing applications are routed to GreenSky, Wisetack, or Goodleap under their own privacy policies once you choose to apply.
Analytics
Aggregated, IP-truncated analytics are processed by Google Analytics 4 through our Google Tag Manager container. We do not enable Google Signals or advertising demographics, and we have not configured any advertising features.
4b. Two-Party Consent disclosure (call recording and AI transcription)
Comfort Pros operates in California, a "two-party consent" jurisdiction for telephone conversations (Cal. Penal Code § 631, § 632). To stay compliant on every line, the following applies to every call placed to or from any Comfort Pros phone line, including the Arizona line, the California line, and the SMS text-back number:
- Inbound and outbound calls may be recorded in their entirety or transcribed by an AI-assisted quality-assurance tool.
- Recordings and transcripts are used for staff training, dispatch verification, dispute resolution, and to confirm the scope of work you authorize.
- A short audible or verbal notification is provided at the start of every recorded call. By continuing on the line after that notification, all parties are deemed to have consented to the recording or transcription for the purposes stated above.
- If you do not consent to be recorded, disconnect the call and contact us in writing at Hello@comfortprosaz.com so we can take care of your request without recording the conversation.
- Recordings are retained for up to ninety (90) days, then deleted, except where a longer retention is required to investigate a complaint, warranty claim, or legal matter.
5. Data security
We use reasonable technical and organisational measures to protect the information you give us. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we do not retain payment card details ourselves.
6. Your rights
Regardless of where you live, you can ask us to:
- Tell you what personal information we hold about you
- Correct anything inaccurate
- Delete your information, subject to records we must keep for warranty or tax purposes
- Stop sending you marketing communications
6a. Arizona privacy rights
Arizona does not have a comprehensive consumer-privacy statute equivalent to the CCPA, but the following Arizona-specific rights and obligations still apply to your data:
- Arizona Telephone Solicitations Act (ARS § 44-1271 et seq.). We honor the Arizona do-not-call list and any individual do-not-call request you submit by email, phone, or text. Telemarketing calls to Arizona residents are placed only during the hours permitted by state law.
- Arizona data-breach notification (ARS § 18-552). In the event of an unauthorized acquisition of unencrypted personal information that materially affects you, we notify affected Arizona residents in accordance with the statute.
- Arizona Registrar of Contractors (ROC). As an ROC-licensed contractor (license #364742), our public business record with the ROC includes our name, address, license class, and bond information. That record is a matter of public inspection independent of this privacy policy.
6b. Federal privacy and telemarketing rules
- TCPA (47 USC § 227). We obtain prior express written consent before placing marketing calls or texts to wireless numbers, honor internal and national do-not-call lists, and retain consent records for at least four years.
- A2P 10DLC. Our SMS brand and campaigns are registered with the major US carriers through our messaging provider; each campaign identifies its use case so carriers can apply appropriate filtering.
- CAN-SPAM. Every marketing email we send includes an unsubscribe link and our physical postal address.
7. California privacy rights (CCPA / CPRA)
If you are a California resident, the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA), gives you the following rights in addition to those in Section 6:
- Right to know — what categories of personal information we collect, the sources, the business purpose, and the categories of third parties with whom we share it
- Right to delete — personal information we have collected from you, subject to the records-retention exceptions above
- Right to correct — inaccurate personal information we hold about you
- Right to limit the use of sensitive personal information — where applicable, restrict our use of sensitive PI to what is necessary to provide the service
- Right to opt out of sale or sharing — see the dedicated link below
- Right to non-discrimination — we will not deny service, charge a different price, or provide a different level of service because you exercised any of these rights
We do not sell personal information and we do not share it for cross-context behavioural advertising, as those terms are defined under the CCPA. To exercise any of the rights in this section, email Hello@comfortprosaz.com with the subject line "California Privacy Request." We will respond within the timeframes required by California law (45 days, with a 45-day extension where reasonably necessary and notified to you).
8. Do Not Sell or Share My Personal Information
Even though we do not sell or share your personal information, California residents have an explicit right to opt out. If you would like to record that opt-out with us, email Hello@comfortprosaz.com with the subject line "Do Not Sell or Share My Personal Information." You can also use this same address to revoke a previously submitted Shine the Light request.
9. Shine the Light (California Civil Code § 1798.83)
California residents may request, once per calendar year, a list of the categories of personal information disclosed to third parties for those third parties' own direct marketing purposes during the preceding calendar year. We do not disclose personal information to third parties for their direct marketing purposes. If you would like to make this request formally with a submission, use the Shine the Light checkbox on our contact form, or email Hello@comfortprosaz.com.
10. Cookies and analytics
We use cookies and similar technologies to keep the site working properly and to understand which pages people use. You can set your browser to refuse cookies or to alert you when one is set. Some parts of the site may not work as intended if you do.
11. Children
This site is not directed at children under 13 and we do not knowingly collect information from them. If you believe a child has provided us with personal information, contact us and we will delete it.
12. Changes to this policy
We may update this policy from time to time. The revised version takes effect when it is posted here, and the "last updated" date at the top will change.
